Privacy notice
Who is responsible?
LOOMZA SRL, CUI 52145748, registered office: Crasna, no. 43, Sălaj County, Romania. Privacy questions and requests: office@loomza.ro. This notice covers enquiries, studio bookings, payments and invoicing through this website. Use of participants’ image, voice and publication of recordings must be covered by a separate agreement.
Data and purposes
For enquiries we use your name, email, message and any telephone number you provide to answer your request. For bookings we use your package, date, language, studio setup requests and contact details to arrange and deliver the service, send confirmation and a reminder. The legal basis is taking steps before a contract and performing the contract under GDPR Article 6(1)(b). For company contacts, we rely on our legitimate interest in communicating to deliver the service, Article 6(1)(f).
Invoicing and security
For invoices we request your name, billing address and email; for companies, the business name and tax identifier too. This fulfils tax and accounting obligations under Article 6(1)(c). The deposit amount, payment reference and payment status let us verify payment. The LOOMZA website does not store card numbers or CVC codes. Technical identifiers and security events help protect the service and its data, based on legitimate interests under Article 6(1)(f). Do not enter personal identification numbers, identity document details or sensitive personal information into the form. For a real booking we also record the privacy notice version, acknowledgement time and booking language.
Who receives the data?
Access is limited to LOOMZA staff handling the work and necessary providers. The website is hosted through OpenAI Sites on Cloudflare infrastructure. For active bookings, Microsoft 365/Bookings handles scheduling and email, Stripe payments and Oblio invoices. Our accountant and competent authorities may receive information where necessary under the law. Once activated, Cloudflare Turnstile uses technical signals, such as IP address, browser details and connection characteristics, when payment is initiated to identify bots. The website has no analytics or advertising tracking code. Fonts are hosted locally.
International transfers
Some hosting, security, email and payment providers may process data outside the EEA. An applicable adequacy decision or appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, are required. You can request details of processing terms and transfer safeguards at office@loomza.ro. Checking provider agreements and the actual transfers is a condition of launching live bookings.
Retention
We retain booking data and correspondence for as long as needed to arrange and deliver the service and address any related claims. The need to retain closed matters must be reviewed regularly. Under Romanian accounting law, invoices and supporting accounting records are retained for 5 years from 1 July of the year following the relevant financial year; other legal requirements or ongoing proceedings may change this period. The booking cookie lasts up to 24 hours. Data entered into the preview form is not sent to the booking database. Technical details are explained in the cookie notice.
Your rights
You may request access, a copy and correction, and where the legal conditions apply, erasure, restriction and portability. You may object to processing based on legitimate interests. If a future optional purpose relies on consent, you may withdraw it at any time. We cannot erase legally required invoice records before the retention period ends. Send requests to office@loomza.ro; we normally respond within one month. We may request proportionate identity verification if necessary. You may complain to Romania’s ANSPDCP or the competent authority where you live. We do not perform marketing profiling or automated decisions with legal effects; if a security check fails, you can contact us by email.
Required and optional information
Without required booking and billing fields, we cannot arrange the service or issue a correct invoice. Your phone number and studio setup requests are optional. Booking does not subscribe you to a newsletter. Acknowledging this notice is not consent for advertising. We update the notice when our processing changes materially.
